Job Description:
The concierge service plays a central role in the hotel’s reception. She ensures a bilingual, structured and professional welcome, while managing communications, reservations, the sale of partner services and operational follow-ups.
This position requires complete bilingualism (French and English), great administrative rigour, as well as the ability to perform physical tasks related to operations and group reception.
Primary Responsibilities
1. Reception and customer service
- Greet customers at the reception desk
- Respond to customer inquiries in French and English (oral and written)
- Ensure baggage management when requested
- Accompany guests in the operation of the hotel (self-arrivals, services, rooms, parking)
- Offer a professional and personalized concierge service
2. Communications Management
- Manage all customer, partner and agency emails
- Carry out follow-ups before, during and after the stay
- Maintain clear, structured and error-free communication
- Comply with the procedures and automated messages in place
3. Reservations and digital systems
- Manage individual, FIT and group bookings
- Use the MEWS PMS on a daily basis
- Working with Booking, Expedia and other OTA platforms
- Using the Libro system for restaurant reservations
- Check booking, payment and billing information
- Sell our partners’ services and experiences through their platforms
- Produce occupancy and sales reports as needed
4. Sales and Customer Experience
- Advise clients on activities, restaurants and attractions in the region
- Sell our partners’ services and experiences through their platforms
- Clearly explain offers, terms and conditions to customers
- Make reservations, follow-ups and confirmations with partners
- Provide customer service for groups
- Issuing and reconciling vouchers
- Optimize the customer experience through a sales-consulting approach
- Serve at receptions in the dining room or in restaurants
5. Project and Event Management
- Participate in the coordination of events, groups and meetings
- Follow up on requests, timelines and logistical needs
- Collaborate in the organization and assembly of rooms
- Maintain smooth communication between relevant departments
6. Operational and Physical Tasks
- Ensure the management of group luggage when receiving agency groups
- Participate in the receipt of goods
- Move cash registers as needed
- Moving laundry pockets for housekeeping
- Approx. 10 kg per bag
- Approximately 40 bags per delivery
- Collaborate with internal teams during group arrivals and departures
